1. Who we are

VeriAxis Group LLC is a software development company in Cheyenne, Wyoming, United States. For the information described here we are the controller. Contact: [email protected].

2. What we collect

Enquiries and correspondence: name, company, email, phone, budget range and the message you send through the contact form or by email.
Clients: billing details (name, company, address, email), invoices and payment records. Card and bank details are entered on PayPal's pages or sent by your bank; we never see card numbers.
Phone line: if you call our business number, an automated assistant answers; we keep a written summary of the call, your number and any callback details for 90 days. Audio is not stored.
Website: standard server logs (IP address, browser, pages requested) kept by our hosting provider for security. We do not run advertising trackers and do not set cookies for visitors; the owner dashboard uses a session cookie after sign-in.
Project data: content, credentials and sample data you give us to do the work, kept in your own accounts or in a project workspace during the engagement.

3. How we use it

To answer you, prepare proposals, deliver and support the work, issue invoices and keep accounting records, secure our systems and meet legal obligations. We do not sell personal information and do not use it for advertising. We do not send marketing lists; we may write to existing clients about their projects.

Service providers that help us run the business, under their own privacy terms and only as needed: Cloudflare (hosting and email routing), Resend (outgoing email), PayPal (payments), Intuit QuickBooks (bookkeeping), Twilio and ElevenLabs (phone line and voice assistant). We may disclose information when the law requires it. When a project involves your customers' data, you remain the controller and we process it on your instructions only.

5. How long we keep it

Enquiries that do not become projects: 12 months. Client records, invoices and payment data: 7 years, as accounting rules require. Call summaries and SMS: 90 days. Project data: deleted from our workspaces within 30 days after handover, except what you ask us to keep under a support plan.

6. Your rights

You can ask what we hold about you, have it corrected or deleted, or object to a use, by writing to [email protected]. We answer within 30 days. Residents of states with privacy laws (for example California, Colorado, Virginia) have the rights those laws provide; we do not sell or share personal information for cross-context advertising, so there is nothing to opt out of.

7. Security

All traffic is encrypted, secrets are kept in platform secret stores, access is limited to the people who need it, and payment data stays with the payment provider. If a breach affects your information we will notify you without undue delay.

8. Children

Our services are for businesses. We do not knowingly collect information from anyone under 18.

9. Changes

We may update this policy and will show the new date at the top. Material changes are announced to current clients by email.
